This project transformed a chaotic, multi-channel hiring process into a professional-grade recruitment engine. By integrating Google Forms, Dataverse, and a custom-built Power App, I replaced a "post-it note" workflow with a centralized mobile command center. The solution features 1-click contact via WhatsApp/Gmail and automated Google Calendar scheduling—all achieved with $0 in recurring software costs. The challenge

Managing high-volume recruitment for a volunteer-based organization like Free Spirit Hostel presented a logistical nightmare. With 10+ hires required monthly, the "inbox-and-post-it" method quickly hit a breaking point. As shown in the process flowchart, applications arrived through a fragmented web of social media and email, leading to data silos and administrative fatigue.

  • Communication Overload: Managing 300+ messages monthly across Gmail, Instagram, WhatsApp, and Facebook created a lack of overview and led to missed qualified applicants.
  • Manual Data Fragmentation: Relevant candidate data had to be collected manually, a time-consuming process that frequently resulted in incomplete or missing information.
  • Wasted Talent Potential: Only "accepted" applicants were recorded, meaning unsuccessful but qualified candidates weren't added to a database, resulting in a significantly smaller talent pool for future openings.
  • High Volume Pressure: Handling 50+ new applicants per month without a dedicated system meant managers spent more time on paperwork than on evaluating cultural fit.

The solution

I built a custom ecosystem using Power Apps, Dataverse, and Google Forms. This solution automated the recruitment funnel from the initial entry point to a "1-click-contact" mobile app with integrated scheduling. By bridging the gap between Google’s front-end flexibility and Microsoft’s back-end power, I created a professional-grade recruitment tool that functions as a single source of truth for all hiring data. The solution replaces fragmented "inbox-surfing" with a centralized dashboard including:

  • Automated Funnel: Seamlessly syncs Google Form entries to Dataverse, eliminating manual data entry and ensuring 100% candidate capture.
  • Intuitive Mobile Command Center: A custom Power App designed for on-the-go management, featuring a visual candidate gallery with color-coded status indicators, smart filtering, search functionality, 1-click multi-channel contact, and candidate rating.
  • Smart Scheduling: One-tap Google Calendar integration that automates interview booking and reminders to prevent double-bookings.
  • Centralized Talent Pool: Unlike the previous system, all applicants are now archived in a searchable database, creating a long-term pipeline of talent for future seasons.
  • Zero Recurring Costs: Engineered the entire architecture to run on existing licenses, delivering a high-end enterprise solution with $0.00 in monthly software overhead.
